Buying managed IT

Pricing, contracts, onboarding, and coverage questions every Ontario buyer asks first.

How much do managed IT services cost in Ontario?

Most Ontario SMBs pay between $130 and $250 per user per month for fully managed IT services in 2026. Co-managed plans, where you keep some internal IT, run $80 to $150 per user. Cost varies by company size, security depth (basic AV versus EDR plus 24/7 MDR), after-hours response, and regulated-industry requirements such as PHIPA, PIPEDA, and Law Society obligations.

See our services →

What is your per-user pricing range?

Outsource IT managed IT plans are priced per user, per month, with a range from $40 to $309. Entry-level plans cover core help desk, monitoring, and endpoint protection, while higher tiers add advanced security, compliance management, Microsoft 365 administration, and 24/7 incident response. The exact rate depends on user count, device mix, regulatory requirements, and whether you need fully managed, co-managed, or project-based support.

How quickly do you respond to support requests?

Under 60 seconds for live calls during service-desk hours (7am to 7pm ET), under 15 minutes for P1 critical incidents 24/7/365, and within 2 business hours for standard tickets. SLA terms are documented in every master services agreement. After-hours critical issues route to on-call engineers in Burlington, Ontario, not an offshore third party.

Book a 30-minute IT health check →

Do you require long-term contracts?

No. Our standard managed-services agreement is a 12-month initial term, then month-to-month with 60 days written notice. We do not lock clients into 3 or 5 year contracts. Average client tenure of 12+ years comes from service quality, not contract terms. Onboarding investment is amortized into the monthly fee, not front-loaded as a non-refundable deposit.

See our managed IT services →

How long does onboarding take?

Most onboardings are complete in 30 to 60 days. Smaller SMBs (10 to 25 users, single site, Microsoft 365 already deployed) often finish in 2 to 3 weeks. Larger or regulated environments (multi-site, healthcare under PHIPA, legal under Law Society rules) typically run 45 to 90 days because of compliance baselining. You get a written onboarding plan with milestone dates before the first invoice.

Talk to our onboarding team →

Are there onboarding fees for your managed IT services?

No. Outsource IT does not charge onboarding fees. Discovery, documentation, agent deployment, and knowledge transfer are included in the monthly managed-services fee so the first invoice is the same as every invoice after it.

Where do you provide on-site service?

Across Halton, Hamilton, Niagara, and the GTA West as standard, with extended coverage to Cambridge, Kitchener-Waterloo, and Toronto. Our Burlington HQ is the dispatch centre. Standard on-site response in Halton is same-day for critical issues and next business day for standard requests. Remote-only service is available Canada-wide.

What areas of Canada do you serve?

Outsource IT is headquartered in Burlington, Ontario, and our managed IT services are available across Canada. We serve every province and territory, including Ontario, Quebec, British Columbia, Alberta, Manitoba, Saskatchewan, Nova Scotia, New Brunswick, Newfoundland and Labrador, Prince Edward Island, and the three territories. On-site support is available from our own engineers throughout the Greater Toronto and Hamilton Area; outside Ontario, we deliver remote support from Burlington and coordinate hardware work through our network of vetted Canadian field technicians.

Do you support businesses and branch offices outside Ontario?

Yes. Outsource IT is headquartered in Burlington, Ontario, and supports client sites in every Canadian province and territory. Remote support, 24/7 monitoring, patching, backup and security run identically at every location regardless of time zone, and hardware work outside Ontario is handled through vetted local field technicians we dispatch and manage. Head office locations across Halton, Hamilton, Niagara and the GTA still get same-day on-site engineers from our own team.

See our coverage →

Can one MSP standardize IT across multiple Canadian locations?

That is the main reason multi-site businesses move to us. Every site runs the same patch baseline, endpoint protection, backup policy, Microsoft 365 configuration and security controls, and leadership gets one service desk, one set of reports and one monthly invoice instead of a different local provider per city. Microsoft 365 and backup workloads default to the Canada Central and Canada East regions, which keeps privacy and audit reviews straightforward, and the service desk supports English and French.

Talk about multi-site support →

What size of business do you serve?

Outsource IT serves businesses with 10 to 500 employees across Ontario and Canada. Sweet-spot clients are 25 to 200 users in regulated industries such as healthcare, legal, financial, and manufacturing. Clients include Hamilton Family Health Team (150+ clinicians), the College of Immigration and Citizenship Consultants, Edison Engineers, and GreenMantra Technologies.

Support and service levels

How the help desk, the NOC, and the SLA actually work day to day.

Do you provide unlimited remote, service desk, and onsite services?

Yes. Outsource IT provides unlimited remote, onsite, and help-desk services for a single monthly flat fee across all client locations. Unlike MSPs that use block-time billing, which generates surprise overage charges when usage spikes, our plans cap monthly cost. We have operated this model for over 20 years across Ontario and Canada-wide.

See our managed IT services →

Is monitoring performed in a 24/7 fashion?

Yes, 24/7/365. Our Network Operations Centre monitors client networks, endpoints, servers, and cloud workloads around the clock from Burlington, Ontario. Critical alerts trigger automated remediation where possible and everything else routes to on-call engineers. Average critical-alert response time is under 15 minutes, including outside business hours.

See our cybersecurity services →

Is 24/7 service handled by a third party or internal staff?

Internal staff. Our NOC and on-call engineering team are full-time Outsource IT employees based in Burlington, Ontario, not outsourced to an overseas third party. This matters for security-sensitive sectors: healthcare under PHIPA, legal under Law Society obligations, and financial under PIPEDA, where data residency and accountability are part of the contract.

See our compliance work →

Are there clear agreements for priority and non-priority requests?

Yes. Every service agreement specifies four priority tiers: P1 critical outage, P2 partial outage, P3 standard request, and P4 informational, each with target response and resolution times. P1 incidents are responded to within 15 minutes 24/7. P3 standard requests are responded to within 2 business hours during service-desk hours.

Request our SLA sheet →

Can Outsource IT handle a surge of work or an emergency?

Yes. We retain surge capacity within the engineering bench specifically for client emergencies: ransomware events, major migrations, M&A integrations, and regulatory audits. Clients on managed plans get surge support without additional billing for declared incidents. Major project surges, for example a 200-user migration on a 30-day deadline, are scoped as a project with a dedicated project manager.

Get an emergency assessment →

Do you include regular business reviews?

Yes, quarterly by default. Every managed-services client receives a quarterly business review covering ticket volume and trends, security posture changes, upcoming projects, technology roadmap, and budget forecast. Larger clients and regulated-industry clients receive monthly executive reviews instead. Reviews are delivered by your assigned vCIO, not by the help desk.

See our services →

Are technicians available at all times?

Yes. Service-desk technicians are available during extended business hours, 7am to 7pm ET Monday to Friday, for non-critical requests, and on-call engineers handle critical issues 24/7/365. After-hours requests for outages, security events, and data loss are answered live. Non-critical after-hours tickets queue for the next business day with status updates.

Contact our team →

Do you provide IT services in a hybrid model, or is it all-or-nothing?

Hybrid is supported. We offer co-managed IT for businesses that have internal IT staff and need augmentation, fully managed IT for SMBs without internal IT, and a-la-carte projects such as cloud migrations, security assessments, and vCIO engagements. Most clients start fully managed, then transition to co-managed as they grow.

See our co-managed IT services →

Do you support Macs and PCs, and Linux?

Yes, full support for Windows, macOS, and Linux. Standard help-desk coverage includes Windows 10 and 11, current macOS releases, and Linux server distributions such as Ubuntu LTS, RHEL, and Debian. Mobile device management covers iOS and Android. Microsoft 365 and Google Workspace are both supported, and there is no Mac surcharge: every endpoint is priced the same.

Cybersecurity and compliance

MDR, ransomware defence, training, and Canadian privacy law.

Do you provide managed detection and response (MDR)?

Yes. Our MDR stack combines EDR on every endpoint, 24/7 SOC monitoring, network traffic analysis, and threat hunting performed by Canadian-based analysts. Critical alerts are triaged within 15 minutes and suspected compromises trigger immediate isolation. We provide post-incident forensic reports for compliance documentation under PHIPA, PIPEDA, and Law Society requirements.

See our cybersecurity services →

How do you protect against ransomware?

Through layered defence. Our ransomware protection combines email filtering that blocks the overwhelming majority of malicious attachments, endpoint EDR with behavioural detection, immutable offsite backups, least-privilege access controls, and quarterly security awareness training. In a ransomware event, our incident-response plan restores critical systems within the recovery time objectives defined in your service agreement.

Do you handle PIPEDA, PHIPA, and Law 25 compliance?

Yes. Our compliance practice covers PIPEDA federally, PHIPA for Ontario healthcare, Quebec Law 25, and upcoming federal privacy reform. Compliance work includes data mapping, breach notification playbooks, written information security policies, vendor risk reviews, and audit documentation. We are an OMA-verified IT partner for Ontario medical practices.

See our compliance work →

What is included in security awareness training?

Monthly micro-modules and quarterly phishing simulations. Every covered employee receives one 5-minute training module per month on phishing recognition, password hygiene, social engineering, and data handling. Quarterly phishing simulations measure click rates and identify repeat-offender users for targeted retraining. Results are summarized for executives in the quarterly business review.

Check your security posture →

Do you do penetration testing?

Yes, annually for managed clients in regulated industries. We partner with independent Canadian penetration-testing firms for external and internal pen tests, vulnerability scans, and red-team exercises. We do not self-test our own work: independent firms produce the findings and our team remediates them. Recommended for healthcare, legal, financial, and any client pursuing SOC 2 or ISO 27001.

Can you help us achieve SOC 2 or ISO 27001 certification?

Yes. We support SOC 2 Type II and ISO 27001 audits as the IT operations partner: implementing required controls, documenting policies and procedures, collecting evidence, and running audit-readiness reviews. We work with your chosen audit firm. Timeline is typically 9 to 18 months from kickoff to first attestation.

Microsoft 365, cloud, and AI

Migrations, Copilot, Azure, and tenant hardening.

How long does a Microsoft 365 migration take?

Most SMB migrations finish in 2 to 8 weeks. A 25-user single-site migration from Google Workspace or on-prem Exchange typically takes 3 weeks. A 200-user multi-site migration with SharePoint and Teams rollout typically takes 6 to 8 weeks. Migration includes mailbox cutover, OneDrive data move, MFA enforcement, conditional access policies, and user training.

See our Microsoft 365 services →

What does Microsoft Copilot deployment cost?

Copilot licensing is roughly $40 CAD per user per month on top of an existing Microsoft 365 E3 or E5 plan, billed by Microsoft. Our Copilot deployment service covers tenant readiness assessment, data governance setup so Copilot can only reach intended files, user training, and use-case rollout over 6 to 12 weeks. Most clients see measurable ROI within 90 days.

Should we use Microsoft 365 or Google Workspace?

It depends on your existing stack and compliance needs. Microsoft 365 is the better fit for Windows-heavy SMBs, regulated industries such as healthcare and financial services, and clients planning to use Copilot. Google Workspace is competitive for SMBs already on Chrome and Android and for tight-budget startups. We migrate in both directions and have no platform preference.

Do you manage Azure cloud infrastructure?

Yes. Our Azure practice covers landing-zone design, subscription governance, cost management where we typically reduce Azure spend 15 to 30 percent on a first engagement, security baseline with Defender for Cloud, backup, and disaster recovery runbooks. Azure-only clients can engage on a project basis or as a managed service.

See our managed cloud services →

Can you secure Microsoft 365 against the most common attacks?

Yes. Standard Microsoft 365 hardening includes MFA on every account, conditional access policies that block legacy authentication and require compliant devices, Defender for Office 365 for phishing and malware, Defender for Cloud Apps, and a documented incident-response runbook for compromised accounts. This is included in our managed Microsoft 365 service, not sold as an add-on.

Is our data safe when using Copilot or other AI tools?

Yes, with the right governance. Microsoft Copilot for Microsoft 365 respects existing permissions and can only reach data the user can already reach. The real risk is over-permissioned files, for example HR documents accidentally shared org-wide. Our Copilot readiness assessment finds and remediates those before deployment, and public AI tools are restricted inside managed environments.

Backup and business continuity

Recovery objectives, immutability, and how often we actually test.

What is your recovery time objective (RTO)?

Default RTO is 4 hours for critical systems and 24 hours for non-critical systems. Faster objectives of 1 hour or 15 minutes are available for clients requiring tighter continuity, typically healthcare, financial, and manufacturing operations. Faster RTO requires hot-standby infrastructure and is priced separately from standard managed services.

See disaster recovery →

How is your backup ransomware-resistant?

Through immutability and air-gap design. Backups are written to immutable storage that cannot be encrypted or deleted by a ransomware attack, retained for the period specified in your service agreement, and replicated to a geographically separate Canadian data centre. Backup integrity is tested monthly through automated restore drills.

See disaster recovery →

How often do you test backups?

Automated restore drills run monthly and full failover tests run annually. Monthly tests verify that random sample files restore successfully without corruption. Annual tests execute the full disaster-recovery runbook, including spinning up workloads in the secondary site and validating application function. Results are reported in the quarterly business review.

Cost your downtime →

Do you have a quality assurance methodology?

Yes. Our QA methodology covers ticket QA through random-sample review of every engineer's tickets monthly, client QA through quarterly business reviews, and process QA through an annual review of every standard operating procedure. Findings drive engineer coaching and process updates, and results are summarized for clients during quarterly reviews.

Regulated industries

Healthcare, legal, and financial services specifics.

Are you a PHIPA-compliant IT provider?

Yes, and we are an OMA-verified IT partner. Our healthcare practice covers PHIPA compliance documentation, EMR system support, breach notification playbooks, signed data processing agreements, and audit-ready evidence collection. We currently support Hamilton Family Health Team with 150+ clinicians, along with other Ontario practices under the same framework.

Which EMR platforms do you support?

OSCAR, Accuro, AbelMED, Practice Solutions, and PS Suite are the most common platforms in our client base, plus PointClickCare and MEDITECH in long-term care. We support both cloud-hosted and on-premise EMR deployments. PrescribeIT ePrescribe integration and lab integrations with Dynacare and LifeLabs are within scope of standard support.

What is your healthcare breach-response capability?

Documented PHIPA breach response within 24 hours. Our incident-response runbook covers initial triage, scope assessment, notification timing for the Information and Privacy Commissioner of Ontario, patient notification logistics, and forensic documentation for the audit trail. We work directly with your privacy officer through every step.

Which legal software do you support?

PCLaw, ACL, CosmoLex, Clio, NetDocuments, iManage, and Worldox are the platforms most common in our legal client base. We handle PCLaw to Clio migrations, a frequent project given the PCLaw end-of-life timeline, document management implementations, and integration with e-signature tools such as DocuSign and OneSpan.

How do you handle Law Society of Ontario data-handling requirements?

Through documented policies and audit-ready evidence. The Law Society of Ontario requires lawyers to take reasonable steps to protect client information. We provide the written information security policy, encrypted backup, access control matrix, breach-response runbook, and annual security review documentation that Law Society audits typically request.

Do you support law firms and clinics outside Ontario?

Yes, Canada-wide via remote service. Our practice serves firms and clinics across Canada remotely, while on-site service is concentrated in Ontario. Multi-province organizations in Quebec, BC, and Alberta are common. We handle bilingual support for Quebec offices and adjust documentation to provincial regulations.

Do you handle ePrescribe (PrescribeIT) onboarding?

Yes. We handle PrescribeIT certificate management, EMR configuration, prescriber identity verification, and ongoing support for the integration. Initial PrescribeIT onboarding for a five-prescriber practice typically takes 2 to 3 weeks including training.

Can you support multi-clinic or multi-site healthcare environments?

Yes. We support Family Health Teams, multi-site clinics, and specialist groups operating across multiple Ontario locations. Hamilton Family Health Team is the flagship reference, with 150+ clinicians across multiple sites supported continuously since 2018. Standard deliverables include centralized Microsoft 365 identity, unified printing and scanning, shared EMR access, and per-site backup.

Are you an OTLA-verified technology partner?

Yes. Outsource IT Computing Inc. is an official technology partner of the Ontario Trial Lawyers Association (OTLA), specializing in managed IT services and cyber security for legal professionals across Ontario. Member firms get pre-vetted IT services with documented Law Society compliance, secure file sharing, mobile workflow support, and document-management integration.

Can you support remote and hybrid law-firm workflows?

Yes. We support remote and hybrid legal workflows including secure VPN, virtual desktop infrastructure such as Azure Virtual Desktop and Citrix, mobile access to PCLaw and your document management system, conditional-access policies that block unmanaged devices, and DocuSign or OneSpan e-signature workflows for court filings and client engagements.

vCIO, strategy, and AI

Roadmaps, budgets, Copilot readiness, and the 90-day AI accelerator.

What is a vCIO?

A vCIO is a fractional Chief Information Officer, typically 4 to 16 hours per month, who owns your technology roadmap, budget planning, vendor evaluations, security posture, and business-aligned IT strategy. Unlike a full-time CIO, which costs $180k to $350k per year in Canada, a vCIO scales to the actual size of the engagement. Our vCIOs hold CISSP, MCSE, or equivalent certifications.

See our services →

When does my business need a vCIO?

When IT spend reaches roughly $100k per year, or when a single IT incident could cost the business material revenue or compliance penalties. Trigger events include planned growth of 40 percent or more headcount in 12 months, M&A activity, regulatory audits such as SOC 2, ISO 27001, or PHIPA, major platform migrations, or the aftermath of a security incident.

Score your current provider →

What does a vCIO deliver each month?

A monthly strategic review and ongoing roadmap updates. Standard monthly deliverables include a strategy session with leadership, updates to the 12-month technology roadmap, budget tracking, vendor scorecards, security posture review, and project status across all in-flight initiatives. Annual deliverables include the budget proposal, a full risk assessment, and a refreshed 3-year roadmap.

How is a vCIO different from a managed IT services contract?

Managed IT runs the day to day, the vCIO sets the direction. Managed IT covers help desk, patching, monitoring, and incident response, which is operational. A vCIO covers strategy, planning, budgeting, vendor decisions, and business alignment, which is directional. Most clients use both: managed IT for operations plus 4 to 8 vCIO hours per month.

What is the AI Integrations Accelerator?

A 90-day program that moves an SMB from wanting to use AI to measured business outcomes. Phase 1, weeks 1 to 3, is use-case discovery and prioritization. Phase 2, weeks 4 to 9, is pilot deployment of the two highest-ROI use cases. Phase 3, weeks 10 to 13, is production rollout and ROI measurement. Suitable for 25 to 500 employee businesses on Microsoft 365.

Talk about an AI pilot →

What ROI should we expect from Microsoft Copilot?

Documented studies show 25 to 40 percent time savings on email triage, meeting summaries, and first-draft document creation. We measure actual ROI per client across three metrics: hours saved per user, error-rate change on Copilot-assisted work, and adoption percentage. Most clients hit measurable positive ROI within 90 days when the rollout is paired with proper training.

Financial and insurance

PIPEDA, SOC 2 readiness, practice platforms, and Canadian data residency.

Do you support PIPEDA-regulated financial services?

Yes. We support PIPEDA-regulated firms including insurance brokers, financial planners, and accounting practices, along with OSC-registered investment advisors. Compliance work covers data classification, client information protection, books-and-records retention of seven years or more, breach response, and audit documentation. Modern Specialty Insurance is a representative client.

Can you handle SOC 2 readiness for fintech and accounting firms?

Yes. SOC 2 Type II readiness for a 20 to 50 user financial services firm typically takes 9 to 12 months from kickoff to first attestation. We own the IT operations side: controls implementation, evidence collection, documentation, and audit liaison. We work with Canadian audit firms selected on Type II track record.

Which accounting and financial platforms do you support?

Caseware, CCH iFirm, ProFile, Sage, QuickBooks, Xero, and Karbon are common in our client base. For wealth advisors we support Croesus, Univeris, and Conquest Planning. Practice integrations such as CRA e-file and document portals including CCH Portal and OnePass are within scope of standard support.

What is your data residency policy for financial clients?

Canadian data residency by default. Workloads on managed Microsoft 365 use the Canada Central and Canada East datacentres, and backups stay in Canada. Where a US-based SaaS tool is required, we document the data classification and transfer mechanism explicitly so it satisfies financial-services audit requirements.

Manufacturing and construction

OT and IT convergence, ERP platforms, and 24/7 production coverage.

Do you support OT and IT convergence for manufacturers?

Yes. We support convergence of operational technology such as PLCs, SCADA, and line monitoring with traditional IT including ERP, Microsoft 365, and file servers. Practical scope covers segmented network design, secure remote access to OT, monitoring agents compatible with industrial environments, and incident response that respects production-line uptime. GreenMantra Technologies is a representative client.

Which manufacturing ERP and shop-floor systems do you support?

Microsoft Dynamics Business Central, NetSuite, Epicor, SYSPRO, Genius ERP, and SAP Business One are the ERPs most common in our client base. On the shop floor we support PINpoint, Plex, and various PLC integrations. We handle ERP migrations, integrations to Microsoft 365 and Power BI, and reporting layer construction.

Can you support 24/7 production environments?

Yes. Manufacturing clients with 24/7 production lines get on-call engineering coverage matched to production calendars, change-management windows that respect line schedules, and incident-response prioritization for shop-floor-impacting issues. Standard SLAs adjust to recognize that a non-business-hours incident on a 24/7 line is still production critical.

Do you handle cybersecurity for industrial environments?

Yes. Industrial cybersecurity is a specialized subset of our security practice: network segmentation between IT and OT, vendor-isolated remote access with tooling such as Claroty and Tenable.ot, monitoring that does not disrupt control systems, and incident-response runbooks built around production-line uptime.

Not-for-profit and charities

Nonprofit pricing, donor platforms, and CRA records retention.

Do you offer not-for-profit pricing?

Yes, with TechSoup Canada partnership pricing on software plus reduced labour rates on certain services. Microsoft offers steep nonprofit discounts, including free Office 365 E1 for up to 10 users and heavily discounted E3. We handle eligibility verification, tenant setup, and ongoing management at our nonprofit rate card.

Ask about nonprofit rates →

Can you support donor management and fundraising platforms?

Yes. Common platforms in our not-for-profit client base include Raiser's Edge, DonorPerfect, Sumac, Salesforce NPSP, CharityEngine, and Keela. Integration work covers Microsoft 365 single sign-on, donor data import and export, gift acknowledgment automation, and reporting layers for board packs.

How do you handle CRA charitable reporting requirements?

Through proper records retention and audit-ready documentation. Registered charities must retain records for the periods CRA specifies, including 10 years or more for governing documents and 6 years for transaction records. Our standard backup retention covers those requirements and document management systems organize the records for audit access.

Business phone and VoIP

Hosted VoIP, Teams calling, number porting, and Canadian 911 obligations.

How much does hosted VoIP cost per user in Ontario?

Expect $20 to $45 per user per month for hosted VoIP or cloud PBX in 2026. Basic extensions with voicemail and auto attendant sit at the low end. Call recording, contact-centre queues, CRM integration, and analytics push you toward the top. Handsets are $120 to $350 each, or you can run softphones only.

See business VoIP services →

Should we use Microsoft Teams Phone or a dedicated VoIP platform?

Teams Phone makes sense when your staff already live in Teams all day and your call flows are simple. A dedicated VoIP platform wins when you need advanced queues, reception consoles, paging, overhead speakers, elevator or door phones, or heavy call recording. Many Ontario clients run a hybrid: Teams for knowledge workers, a VoIP platform for reception and operations.

How long does number porting take in Canada?

Local number ports typically take 10 to 15 business days, toll-free ports 7 to 10. We run the new system in parallel with your old lines and cut over only after test calls pass, so no customer call is lost during the transition.

What are the Canadian 911 rules for VoIP phones?

The CRTC requires VoIP providers to deliver accurate location information for emergency calls. Each device needs a registered civic address, remote and nomadic users must be able to update their location, and next-generation 911 support is now mandatory. We also configure internal notification so a designated contact knows the moment someone dials 911.

Read our VoIP 911 guide →

Will VoIP call quality hold up on our internet connection?

Each concurrent call uses roughly 100 kbps in each direction, so bandwidth is rarely the limit. Quality problems come from jitter, packet loss, and unprioritized traffic. We assess your circuit, apply quality-of-service rules on the firewall, put voice on its own VLAN, and monitor call quality scores after go-live.

What happens to our phones during an internet or power outage?

Calls fail over automatically to mobile numbers, a backup site, or voicemail-to-email, and the mobile app keeps working on cellular data. For reception-critical sites we add a second internet circuit with automatic failover and UPS power for network gear.

Can VoIP integrate with our CRM or practice management software?

Yes. Screen pop on inbound calls, click-to-dial, and automatic call logging are supported for common platforms such as Microsoft Dynamics, Salesforce, HubSpot, Clio, and many industry systems. We scope the integration during design rather than discovering the gap after cutover.

Remote and hybrid work

Securing distributed staff, home networks, BYOD, and hybrid collaboration.

How do we secure staff working from home?

Secure the identity and the device, not the office perimeter. That means MFA on every account, conditional access rules that check device compliance, full-disk encryption, cloud-managed patching, EDR on every endpoint, and DNS filtering that works off network. A home router you do not control should never be part of your security model.

See endpoint management →

Do we still need a VPN?

Only for legacy systems that must sit on an internal network. Microsoft 365, SaaS applications, and modern line-of-business platforms are better protected with conditional access and zero-trust network access, which avoids the performance drag and lateral-movement risk of a full-tunnel VPN.

Can employees use personal computers for work?

It can be done safely, but only with guardrails: access limited to browser-based apps, app protection policies that prevent copying company data into personal apps, no local file sync, and the ability to wipe corporate data without touching personal data. Unmanaged personal laptops with full email and file sync are the single most common gap we find.

How do you support employees outside the Burlington and GTA area?

Remote support covers all of Canada, with hardware shipped preconfigured through Autopilot or Intune so a user in Ottawa, Kingston, or London can unbox a laptop and sign in. Where hands-on work is needed outside our on-site zone, we coordinate a vetted local partner and stay on the call.

What is the right hybrid meeting setup for a boardroom?

For most Ontario SMB boardrooms: a Teams Rooms or Zoom Rooms certified all-in-one bar for spaces under 20 feet, a dedicated ceiling or table microphone array for larger rooms, one-touch join, and a wired display connection as a fallback. Bad audio, not video, is what kills hybrid meetings.

How do we stop company data spreading across personal cloud accounts?

Give people a fast sanctioned option, then enforce it. We deploy OneDrive and SharePoint properly with sensible sharing defaults, apply data-loss-prevention rules to block sensitive data leaving approved channels, and block consumer sync clients on managed devices.

Healthcare and clinics

PHIPA obligations, EMR support, and clinic uptime for Ontario providers.

What does PHIPA require from our IT provider?

PHIPA makes your organization the health information custodian and your IT provider an agent acting on your behalf. Practically, that means a written agreement covering safeguards, access controls with unique user accounts and audit logs, encryption in transit and at rest, breach notification to the Information and Privacy Commissioner of Ontario and affected individuals, and documented retention and disposal.

See compliance services →

Do you support EMR platforms used in Ontario?

Yes. We support the infrastructure, connectivity, workstations, printing, scanning, and integrations around EMRs such as Accuro, OSCAR, PS Suite, Telus CHR, and hospital-connected systems, and we coordinate directly with the EMR vendor when an issue crosses the line between application and infrastructure.

Can patient data be stored outside Canada?

It can create significant compliance exposure and most Ontario custodians choose not to. We deploy Canadian Microsoft 365 and Azure regions, Canadian backup repositories, and we document data location for your privacy officer and any IPC inquiry.

How do you handle downtime in a clinic environment?

Clinics cannot wait. Critical incidents get a 15-minute response 24/7, we keep spare workstations imaged and ready, network gear is monitored proactively, and every clinic has a written downtime procedure so front desk and clinical staff know what to do in the first ten minutes.

What is required for a privacy breach involving health records?

PHIPA requires notification to affected individuals at the first reasonable opportunity and reporting to the IPC in prescribed circumstances, plus annual statistical reporting. We preserve evidence, produce access logs, determine the scope of exposure, and give your privacy officer the documentation the IPC expects.

Do virtual care and telehealth tools need special configuration?

Yes. Consumer video tools are not appropriate for clinical use. We deploy platforms with Canadian hosting and business associate style agreements, enforce MFA and waiting rooms, disable recording by default, and separate clinical devices from guest Wi-Fi.

Legal and professional services

Official OTLA technology partner: Law Society technology obligations, practice management, and client confidentiality.

Is Outsource IT an official technology partner of the Ontario Trial Lawyers Association (OTLA)?

Yes. Outsource IT Computing Inc. is an official technology partner of the Ontario Trial Lawyers Association (OTLA), specializing in managed IT services and cyber security for legal professionals across Ontario. OTLA member firms work with a provider that has already been vetted by the legal community, understands Law Society of Ontario obligations, and supports the practice-management, document-management, and litigation software plaintiff firms rely on every day.

Legal IT services →

What do OTLA member firms get from the Outsource IT partnership?

OTLA member firms get pre-vetted managed IT and cyber security built for litigation practices: 24/7 monitoring and help desk, encrypted and tested backups, phishing and ransomware defence, secure remote and courthouse access, support for PCLaw, Primafact, Teraview, The Conveyancer, DivorceMate, and Equitrac, plus documented Law Society compliance evidence and a written incident-response plan. Pricing is per user per month, from $40 to $309 depending on the tier.

Book a legal IT review →

What technology obligations does the Law Society of Ontario place on firms?

Lawyers must protect client confidentiality, keep required records available and legible for the retention periods in By-Law 9, supervise staff and vendors handling client data, and take reasonable steps to secure electronic communications. In practice that means encryption, access control, audit logs, retained backups, and a written incident-response plan.

Do you support Clio, PCLaw, or other practice management systems?

Yes. We support Clio, PCLaw, Ghost Practice, Soluno, Amicus, Worldox, and iManage environments, including single sign-on, secure document storage, integrations with Microsoft 365, and migrations between platforms.

How long do law firms need to retain records?

By-Law 9 sets a minimum of 10 years for financial records, and many firms retain client files far longer based on limitation periods and matter type. We size backup and archive retention around your written file-retention policy rather than a generic 30-day default.

How do you protect against wire fraud in real estate and corporate transactions?

Business email compromise targeting trust funds is the top financial risk for Ontario firms. Controls include MFA everywhere, impersonation and lookalike-domain protection, mailbox-rule alerting, banking-detail verification by phone using a known number, and staff training built around real transaction scenarios.

Can outside counsel and clients share files securely with us?

Yes. We deploy secure external sharing through SharePoint or a client portal with expiring links, per-matter permissions, and audit trails, so confidential documents stop travelling as unencrypted email attachments.

What happens to our data if the firm merges or a partner leaves?

We support matter-level data segregation, export, and legal hold. Documentation, tenant ownership, and licences stay in the firm's name, so a merger, dissolution, or provider change never leaves client files stranded with a vendor.
