How Outsource IT Computing Inc. collects, uses, protects and discloses personal information across our website and managed IT services.

Last updated October 26, 2026

1. Our commitment to your privacy

Your privacy is critical to us. Outsource IT Computing Inc. ("Outsource IT", "we", "us") has developed this Privacy Policy so you understand how we collect, use, communicate, disclose and otherwise make use of personal information.

We conduct our business in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy legislation, so that the privacy of personal information is secure and maintained.

2. Privacy principles we follow

  • Before or at the time of collecting personal information, we identify the purposes for which the information is being collected.
  • We collect and use personal information solely to fulfil those purposes and other compatible purposes, unless we obtain the consent of the individual concerned or as required by law.
  • We retain personal information only as long as necessary to fulfil those purposes.
  • We collect personal information by lawful and fair means and, where appropriate, with the knowledge or consent of the individual concerned.
  • Personal information is relevant to the purposes for which it is used and, to the extent necessary for those purposes, is accurate, complete and up to date.
  • We protect personal information with security safeguards against loss or theft, as well as unauthorised access, disclosure, copying, use or modification.
  • We make our policies and procedures for the management of personal information readily available to clients.

3. Information we collect

Depending on how you interact with us, we may collect:

  • Contact details you submit through forms, assessments and calculators on this site: name, business email, phone number, company name and job title.
  • Assessment inputs such as employee counts, wages, revenue figures and self-reported IT maturity answers used to generate your report.
  • Service and support data required to deliver managed IT, cybersecurity, cloud, VoIP and backup services under contract.
  • Technical data such as IP address, approximate city, browser type, referring pages and pages visited.
  • Recruitment data submitted with a job application or through our LinkedIn job postings.

4. How we use personal information

  • To respond to enquiries, quotes and consultation requests.
  • To deliver, support, secure and improve the IT services you have contracted.
  • To send requested reports, assessment results and guides.
  • To send occasional service updates, security alerts and marketing communications you can unsubscribe from at any time, in line with Canada's Anti-Spam Legislation (CASL).
  • To evaluate job applications.
  • To meet legal, regulatory, insurance and contractual obligations.

5. Disclosure and service providers

We do not sell personal information. We may share information with vetted service providers who help us operate our business, for example hosting, email delivery, CRM, ticketing, remote monitoring and security tooling. These providers are bound by confidentiality obligations and may only process information for the purposes we specify.

Some providers may store or process data outside Canada, in which case the information may be subject to the laws of that jurisdiction. We may also disclose information where required by law or to protect our rights and the safety of others.

6. Safeguarding your information

We apply administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls, multi-factor authentication, endpoint protection, encryption in transit, monitored backups and staff security awareness training. No method of transmission or storage is completely secure, but we continually review our controls and respond promptly to any suspected incident.

7. Retention

We retain personal information only as long as necessary for the purposes described here, to maintain business records, or to satisfy legal, tax and contractual requirements. When the information is no longer required, it is securely destroyed, erased or anonymised.

8. Analytics and cookies

[REVIEW WITH COUNSEL]

We use Google Analytics 4 to measure site usage. Analytics cookies are only set with your consent. Before consent, Google Consent Mode sends cookieless measurement pings, without storing analytics cookies. Advertising consent remains denied. GA4 does not log or store IP addresses. Our intended GA4 event-data retention period is 14 months; this setting requires confirmation in our Google Analytics account before publication.

Your cookie choice is saved for 12 months. You can withdraw consent at any time using Cookie settings in the footer: switch Analytics off and save your preferences. This removes known first-party analytics cookies and stops cookie-based analytics; cookieless measurement continues under denied consent. Full details are in our cookie policy.

9. Your rights

You may request access to the personal information we hold about you, ask us to correct inaccuracies, withdraw consent to marketing, or request deletion where we are not required to keep it. Use our secure contact form and we will respond within the timelines set by PIPEDA. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

10. Changes to this policy

We may update this Privacy Policy at any time. The revision date at the top of this page indicates when it was last changed. Continued use of this site means you accept the current version.
